Visit Visa Processing (to Belgium)

I have been wanting to write a blog about the visa processing for both visit and fiancée visa to Belgium (from Manila) to help Filipinos like me (in my own little way) on documents that they will need before and during the application and interview process and give them a timeline of events (based on my own experience of course) so they will have a bigger picture of how long it will take for them to receive response and final decision from the embassy ~~ but time is always a challenge.. and now that I have the whole day to write, it's better to do it now than procrastinate. Again, I reiterate, the timeline on this blog is based on my own personal experience ~~ series of events or documents the embassy will ask (other than what is published in their website), and the timeline for every step may vary on a case to case basis. 


My Situation:  Patrick and I were introduced June of 2009 and became officially in a relationship September of the same year.  October of 2009, I have to leave for US to take my exam and so our plans of Patrick coming to Manila to meet my family only materialized April 2010 (although this is already Patrick's 3rd time to visit the country). Before I left again for US, Patrick and I went to the Belgium embassy in Makati (April 16, 2010) to lodge then my visit visa.


Visit Visa: ~ We called the embassy for an appointment <~ 1 909 1014545 (PLDT only through landline or SMART mobile phone); ~ 1 903 1014545 (Bayantel only through landline); ~   1 900 1014545 (Globe through landline and GLOBE mobile phone)> <Please ALWAYS check http://www.diplomatie.be/manila/ for updates>.  The earliest date available that time was May and so Patrick emailed the embassy to request if they can give us an earlier appointment as he will be leaving Manila last week of April and I will also be leaving by May. The embassy replied and gave us an earlier slot (April 16) for the lodging of the visa application.


Requirements for Visit Visa:  Months before Patrick came for his Manila trip, we're already talking about me applying for a visit visa to meet his family.  And so, he came prepared with his papers. 
1. Original Affidavit of Support called “Bijlage 3bis/Verbintenis Tot Tenlasteneming / Prise en charge/Annexe 3Bis
2. Family Composition called “Composition de Ménage/Samenstelling Van Het Gezin” 
<1and 2 were both obtained from Patrick's town hall>.
3. Photocopy of his Belgian ID card (front & back)
4. And recent proof of his monthly income (for the last 3 months).


I also came prepared for the appointment ~ Passport, application form (can be downloaded from the website) with two 2x2 pics with white background, application fee (Peso equivalent of 60 Euro), a letter of invitation from Patrick (which he only wrote the day before the appointment) and my certificate of employment. I also brought with me bank statement and credit card bill statement in case they will ask.

Interview:  The lady in the counter first asked me for the basic requirements (Patrick's papers in bold letters) and my passport and application form with pics. Then the following questions (as I remembered them):
1.  What is your purpose on applying for the Schengen visa? ~~ My purpose is to visit Patrick's family and tour the country. 
2.  How long do you plan to stay? ~~ I will be staying for 14 days.
3.  How are you related to the sponsor? (referring to Patrick)  ~~ Patrick is my boyfriend.
4.  Will you be staying in his place or in a hotel? ~~ We'll be mostly touring around Belgium and the neighboring countries, but while we're in Belgium, I will be staying in his place.
5.  Do you already have an itinerary? ~~ Not for now. Not until we have the decision on my application.
And that's it.  She did not ask me for any bank statements or credit cards and not even my certificate of employment.  She then asked me to pay the fee and I was given a slip of white paper with my name and date and visa number as reference.  Then I was told that we will know the decision through a call or an e-mail.  She did not give us any time frame. As I am leaving Manila the month after, I have to ask from her back my passport (apparently, the embassy is keeping the passport with them during processing) and requested her to send me the result via e-mail.


A few interview tips:  Be polite and look at the visa officer in the eye when you answer. ONLY answer what is asked! Do not offer information or documents that is not asked from you.  The ladies in the counter are all Filipinos and so do not be ashamed to talk to them in Tagalog (or Taglish for that matter) if you cannot explain yourself well in straight English. Be very honest about your situation as they can see right through you and they will know when you are not being consistent with your answers.  Do not be intimated if they raise their voice sometimes (as I overhear them do). They sometimes have to do it for emphasis or if you misunderstood their question and they have to re-ask it with a louder voice.  Do not be overwhelmed with people being interviewed and were asked a lot of questions before you (You can hear other people being asked there because there is no private cubicle for questioning). Remember, your circumstance is different than theirs.


Result:  May 25, 2010 ~ I received an e-mail from the embassy and was informed that my visa application has been approved (Yehey!). Furthermore, for them to issue the visa, I was requested to submit through e-mail on or before June 30 a  round trip ticket with confirmed dates, travel insurance with a coverage of 30,000 Euro to all Schengen countries and valid for the duration of the stay, and my passport.  We send them (through e-mail) the ticket and the travel insurance (I got an AXA insurance. If I remember right, Patrick paid 20 Euro for the travel insurance.  You can click this link for a free quotation though ~ http://www.axa-schengen.com/) before June 30, with an explanation that I am still not in Manila (so I can't give them my passport yet), but will be back last week of July and will go straight to embassy for visa stamping.  I came back to Manila July 27 and went to the embassy July 28 (no need to call for appointment, I just emailed and inform them the day I will go for my visa stamping). My visa was released 3 days after that.


Visa Conditions: I am to report to the town hall within the first 8 days where I will be staying in Belgium and request an official paper stating my registration of stay.  The paper from the town hall will then be given to the Belgian embassy in Makati as proof that you traveled and you are back (I think more on they want to make sure that you return back and didn't overstay :D).


Time Frame: From the lodging of visa application to email notification for the result ~ 5 weeks.

    I don't understand..what do you mean by "you are waiting for your passport to call the embassy for the lodging of application?" Are you with a travel agency? Didn't you call the embassy yourself to schedule for an appointment?

    Anyway, for visit visa, the lady (in the visa counter) will be the same person who will ask questions but the decision will still be coming from Brussels.

    it's a relief to know that the lady in the visa counter is also a filipina. what were the questions asked? sigh. excited naman ako, but im nervous if it would be approved or not. btw, im applying for Visa to visit a friend or a private person.

  4. @Espresso ~ now I understand your situation..you still don't have your passport with you now. And yes, passport is of course a requirement for visa application. I suggest that you call the embassy for an appointment as soon as you get hold of your passport or as soon as you know when your passport will be delivered because you will be given (or asked) a schedule of interview once you called the visa application line ~ and you will be needing your passport for that appointment.   6. @karla ~ I also have the same situation when I applied for the visit visa..I was to travel to US then and I need my passport with me of course. I informed them about it and they gave it back to me. So don't worry. Just inform them of your out of the country travel on your interview and your passport will be handed back to you. And once you receive a (positive)reply from the embassy regarding your visa, they will inform you on the date on when to go back for visa stamping. Good luck on your application.

This blog is actually my own way of helping out pinoys/pinays who are as clueless as I was during my visa processing..at least with sharing my experience, I might not answer all the questions, but they will have an idea what to do.. Good luck on your application.. Two weeks is a reasonable time for a short visit ~ I'm confident that you will have a positive reply from the embassy. :D BTW, I am actually in West Flanders.     I just got informed my visa was approved the other day! im really happy and relieved! Im going back to the embassy tomorrow to get it. The thing is, I lost my receipt, so I'm kind of worried..

    =.= im so clumsy sometimes.

Im happy to read your forum..can give me advice what kind of visa would i applied here in manila because my common law spouse also filipino and now leaving in brussel but his first marriage here in philippines Is not yet annulled..but hes planning for it cause they have thier own life and family..where in almost 9years as a common law and live together for 5yrs,where afraid on applying my cohavitation visa cause hes marriage is not yet annulled, can help me wih this?by the way he never declared his wife in his family composition in brussel

      i'm sorry but i'm afraid i cannot help u with this...i'm not a lawyer :( my experience is only limited to visit visa and fiance visa...i suggest that your husband seek an expert advice from a lawyer in Brussels for cohabitation visa...i hope u well and good luck on your endeavours..:)

  14. Hi everyone, My bf from Belgium is arriving nxt week. We are planning to get married here first. All his documents are all translated in english. We thought that for me the only requirements is my birth cert. from NSO and ID's. But as I red some forum about this scenario, I've learned that my birth and non-marriage cert. should be authenticated by the DFA. Is this true? And could you pls share some questions they asked to you regarding marriage visa? Thank you and God bless.

      congratulations on your coming wedding...in your case, u want to get married in the Philippines right? u can check out and read forums about your case in justlanded..there are pinays there who shared their experiences getting married in the Philippines and the requirements they need to have...i got married here in Belgium and the embassy asked different requirements for that...what i know is if you want to legalize your documents then ~ "All Philippine documents must be authenticated by Department of Foreign Affairs BEFORE you submit them to the Embassy." ~ per Belgian embassy website...you can always call or e-mail the embassy to ask questions..good luck! and best wishes! :)

  16. Hello onedayatatime.I would like to ask u if my filipino documents i must translate that first in dutch before lodging my family visit visa to visit my daughter? Do u know a place nearby the embassy who can translate it? I knew one place in makati but i forgot where it was. Can I do an advance appointment at the embassy while my papers from begium is on its way? It will arrive here more or less early next week.       What did you fill in then on your application form as professional activity? And didn't they require any financial statements or didn't they ask for any proof that you would return after your visit?

    2. Hello Peter, on my situation i am married already with my husband(belgian) when i applied my visa as family reunion. If your gf applied for visit visa for sure embassy will ask for a proof that your gf will return to the Philippines after her visit. One i know is her leave of absence from her work if she's working, A paper that she owned a property or any business permit, or any paper that proves her thay she will return to Philippines. Try to look on the Belgian Embassy site for more infos. Hope everything comes good when she apply. Goodluck!

    1. @rosalinda - hi. If you are married in the Philippines to your Belgian fiance then you should be applying for family reunification visa. As to requirements to get married in Philippines, im sorry i cant help you out with that because im married here in Belgium and we applied for fiance visa..the requirements are different of course..as to which easiest to do, i think that question is relative..it's a case to case basis..we don't have the same situations or circumstances..the best thing you can do is to just complete all the requirements they ask and all will fall into place..congratulations on your wedding and good luck on your application.

    Wish somebody could help me,I was just reading different kind of blogs.I'm planning to apply visa going to belgium to meet my boyfriend's family.He been here last month it's our first time that we met in real for almost 3 years talking on the net through skype and yahoo.Now we really wanted to get visa for me and mostly say's that i should apply for fiancee visa or what would be the best we should do?. I dunno if it's possible on my case to get a visit visa i don't have any work for now I was just done with my degree April's 2014 but i'm currently looking for job while i'm working for the requirement be submit to the embassy.Do i need to complete my document, including from my sponsor before i set an appointment on an embassy?
    Any advice would be appreciated.THANK U

  24. @ms.verian - hello. your visa application will depend on the purpose of your visit..if you just want to get to know your boyfriend's family, then apply for visit visa..if you are engaged and want to get married in Belgium then fiancee visa it is..now both visas have risks of denial if the embassy's conditions/requirements are not met..for visit visa, you should be able to establish that you have strong ties to philippines like having a job for example..if you apply for fiancee visa, you should be needing proof of relationship like e-mails, chat conversations, phone bills if you have, photos etc..it is always best to complete all papers first before calling for a visa appointment.

    My concern here is to know exactly what am I suppose to do to get in Belgium? I have been 2 times application & both got rejected. The purpose of my visa application is to visit my boyfriend 90days, meet his family & friends. We've been in a relationship for 8months now & he visited me 2 times here in the Philippines already. I completed all the documents that they need but still they don't consider it

  28. This article is the best article I have ever read regarding Visa-related matters in Belgium. I owe so much to the writter of this article. I was denied twice.
    I believe that everything happens for a reason. Who would have thought that I will be lucky on my third attempt? ' We're finally leaving on Saturday and will be getting married on the 17th of October.

    First of all a big thank you for your helpful blog! I would like to invite my girlfriend to Belgium in a couple of months and I would sponsor for all her expenses (which is not a problem, I have a stable and sufficient income). However I make myself a bit worries about the financial requirement and the proof that she will return after her visit. She is employed in Manila, but not officially registered... She has two part-time jobs and on top of that I am sponsoring her a bit every month (but the amount of money on her bank account is not very big yet). We know each other for about two years and a half, I already traveled 4 times to the Philippines (coming March I go again). She also has a small business (grocery store) in her home place, which is run by her mother at the moment (who also takes care of her kids). She has no business permit or doesn't have a property on her name either. Of course she will return after her visit because her kids and family live there, but do you see any detail in our situation that we should handle or think about for sure before we apply for her Schengen visa? Or anything you could recommend or advise to us? I really want to optimize our chances.

I have been married to a Belgian here in Philippines last 2011 and then 2012 i give birth for our daughter but earlier in 2013 we broke up for the fact that i decided not to visit in Belgium.And then tgis year we are back together but during our separation i didnt change my civil status and my passport got expired. So now i gonna need a new passport to apply a visa for a visit. My question is what do i need to get a passport using my husbands name?
